Receptionist/Scheduling Specialist

About the Role

The Receptionist / Scheduling Specialist serves as the first point of contact for clients, families, and community partners, creating a welcoming and professional environment. This role is responsible for front desk operations, hospitality, and communication, while also managing appointment scheduling, coordination, and intake support to ensure efficient service delivery.

Key Roles & Responsibilities

Front Desk & Hospitality

  • Greet and welcome clients, families, and visitors in a warm, professional manner

  • Maintain a clean, organized, and inviting reception area

  • Provide general information and assistance to visitors and callers

  • Ensure a positive, client-centered experience at all times

Phone & Communication Management

Answer, screen, and direct incoming phone calls promptly and professionally

Respond to inquiries and provide accurate information or route to appropriate staff

Communicate effectively with clients, families, staff, and external partners

Scheduling & Coordination

  • Schedule, confirm, and follow up on appointments with clients

  • Send appointment reminders via phone and email as appropriate

  • Add, cancel, and modify appointments within the scheduling system

  • Resolve scheduling conflicts and adjust calendars as needed

  • Coordinate appointments with staff, clients, parents/guardians, and partner agencies

Intake & Administrative Support

  • Coordinate with outside agencies, families, and facilities regarding intake processes

  • Cross-train to perform client/patient intake, including completion and filing of required documentation

  • Maintain accurate records and ensure confidentiality of all client information

  • Support administrative tasks such as data entry, filing, and document management

Additional Duties

  • Collaborate with team members to support daily operations

  • Assist with special projects or administrative needs as assigned

  • Perform other duties as required

Requirements

  • High School Diploma or GED

  • 21 years of age or older.

  • Valid Alaska Drivers License

  • Basic knowledge of office equipment and computers, including word processing and email

  • Ability to pass a pre-employment drug screening and background check
